Stops & Stays is operated by Regent Systems Ltd (registered in England & Wales, Company Number 7993625) ("we", "us", "our"). This policy explains what personal data we collect, why we collect it, and how you can control it.
1. Data We Collect
Account information:
- Name
- Email address
- Authentication details required to sign in securely
App usage and trip data:
- Trips, stops, vehicle details, notes, and related entry data you create
- Date/time and optional geolocation data you enter or allow
- Preferences and settings
Support and feedback data:
- Messages you submit through feedback/support forms
- Ticket references and support history
Technical and security data:
- Device/browser metadata, IP address, and logs needed to secure and operate the service
2. How We Use Data
We use data to:
- Provide core app features (trip logging, history, maps, sync)
- Sync your data between device and server
- Support offline-first functionality and queue pending changes
- Respond to support requests and improve the app
- Detect abuse, secure accounts, and maintain service reliability
- Meet legal obligations
3. Legal Basis
Where applicable, we process data based on:
- Contract: to provide the service you requested
- Legitimate interests: security, stability, and product improvement
- Consent: where you explicitly grant permission (for example, location access on device)
- Legal obligation: where required by law
4. Location Data
Location data is used only to provide travel and stop recording features. You can control location permissions in your device settings. If disabled, location-dependent features may be limited.
5. Offline Caching and Local Storage
The app stores data locally on your device to support offline use and later synchronisation. Data may remain on device storage until you remove it, clear app/browser storage, or delete the related records.
6. Sharing and Processors
We do not sell personal data. We share data only with service providers needed to run the platform, such as:
- Hosting and infrastructure providers
- Database and authentication providers
- Support platform providers (for ticket handling)
These providers process data only under our instructions and for service operations.
7. Data Retention
We retain account and trip data while your account is active, and for a reasonable period afterward where needed for security, legal compliance, fraud prevention, or dispute handling. Support records may be retained for operational history.
8. Security
We use reasonable technical and organisational controls to protect data in transit and at rest. No system is completely risk-free; you are responsible for keeping your login credentials secure.
9. Your Rights
Depending on your location, you may have rights to:
- Access your personal data
- Correct inaccurate data
- Request deletion of your data
- Restrict or object to certain processing
- Receive a portable copy of your data

10. Account and Data Deletion
You can delete your account and all associated data at any time from within the app by navigating to Settings > Account > Delete Account. You will be asked to confirm by typing "DELETE" before your account is removed.
When you delete your account, the following data is permanently removed from our servers:
- Your account profile and login credentials
- All trips, stops, and travel history
- All vehicles
- All favourite places and feedback submissions
- All transaction and billing records
- All device tokens and verification codes
A brief audit log entry recording that a deletion occurred may be retained for legal compliance and fraud prevention purposes. This log does not contain your personal data or travel history.
You may also request account deletion by contacting notifications@vanlifestuff.co.uk. We will process such requests within 30 days.
11. Children
The service is not directed to children under 13 (or higher minimum age where local law requires). Do not use the service if you are below the applicable minimum age.
12. International Transfers
Your data may be processed in countries other than your own. Where required, we use appropriate safeguards for international transfers.
13. Changes to This Policy
We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date and, where appropriate, in-app notice.
